Reception Shared Mailboxes

The approach to reception email was clarified in summer 2024. This is very simple: each building has its own mailbox since receptionists often move between buildings.

Workflow instructions

Please follow these instructions to avoid confusing which mailbox you are using:

  1. Log into Outlook 365 using the Edge browser (http://outlook.office.com) this opens your CRSid@cam.ac.uk mailbox

  2. Save this bookmark in a new folder Star > Name: “My Email” Choose another folder > New folder > Rename “Email” > Save

  3. Click on your avatar or initials, Open another mailbox and add each building you may be working in

  4. Repeat step 2 for each building, and save in the Email folder you have created.

Workflow Process

  1. At the start of your working day, open a new window of Edge browser

  2. Open both your own email address shortcut and that of the building you are in

  3. When you receive a new email, you will see a red dot as a notification.

  4. Keep this browser window open and use it just for email. You can move it to one side of the screen to keep it always visible.

This method prevents any confusion between which mailbox you are using and ensures when you reply to an email it will come from the right address and be saved in the correct Sent Items folder for your colleagues to view, should they need to.
