Export / Back up Email to .pst

Export .pst

Open Outlook and select the relevant folder you wish to export/backup. This could be in a shared mailbox or a subfolder of your CRSid email.

Go to File > Open/Export > Import/Export

select Outlook Data File (.pst), click Next. Then your selected folder should appear automatically, but you can choose to add subfolders using this selector, or even back up the whole mailbox by selecting top level and ensure ‘Include subfolders’ is checked.

Choose where to save it and what to call it:

adding a password if you so wish, if not, just click ‘OK’

This will save in your specified location:

Large files will take some time to create.

Importing a .pst

The process is repeated using the Import/Export function

This time, Import from another program or file > Outlook Data File (.pst), select the file first

Then select where in your Outlook you would like to import to. Here, I’m importing it_services_all into my personal mailbox, importing into the same folder. This will merge into my inbox anything in the inbox of the source file, and create folders in my mailbox.

Best practice is to create a new folder and select it, then File > Open/Export > Import/Export > select source file etc.

Until you reach this screen and import to current folder

When you run it this way, everything is kept separate as it was in the source folder
